Our Booking Process

Booking with Us Update – RE: COVID-19 – Updated 12th July (Following the government’s announcement)

We are now taking bookings given the confirmation of restrictions lifting as planned on the 19th July 2021. We are now contacting anyone who has reserved a time and date with us in the future to take full booking details and secure your reservation with a payment.

As expected there will be some changes to help us avoid isolation and positive cases of COVID-19 amongst the team and our customers. We have outlined the small but needed changes we are making to ensure this. We kindly ask that you understand the measures and guidelines we are putting in place and let us know of any feedback before placing your booking with us.

Please note: Should any restrictions be in place at the time of your booking then we will be unable to go ahead with your booking. This is not a decision that we have taken lightly and we have thoroughly researched the guidelines of our sector and have completed the correct risk assessments which all draw a similar conclusion. Our services create an environment in which COVID-19 can thrive indoor and outdoor. A full refund will be given should this happen.

What new changes will there be going forward?

Party Numbers

If your party has 15 guests or less then our team will not be required to wear a mask but may choose to do so given the circumstances. Over 15 guests (including both adults and children) and your character will be wearing a mask. We ask you to kindly respect this. This is because our team do multiple bookings in a day and this could lead to being a potential ‘super spreader’ should a positive case arise. Face painters will be wearing a mask and/or face shield regardless of numbers.


Your DJ is usually distanced from children to begin with but give out prizes throughout the party. The DJ will use hand sanitiser throughout the party when giving out prizes. The usual dancing and singing will resume! If you would like to adapt this in any way we are happy to accomodate.


Face and Mascot characters will only hug and ‘hi 5’ the birthday / special guest at the party for the next few months. We may change this as cases begin to decline. All guests will still be able to approach and have pictures with your characters.

Mascot Handlers

As mascots are unable to speak, for now we’ll provide an extra member of team to make sure the mascots are able to stay safe with your party. There will be no extra cost for this.

Face Painters

Our face painter will be working with a buzzer system (similar to when you are waiting for a table) the party booker will have 20 buzzers and the face painter will buzz you when they are ready to paint your face. Painters may work a little slower as they will have to clean their brushes in between each guest. We ask you to be patient with our team during this time.

Our face painters have also created 6 designs that your guests can choose from which means they can use disposable sponges to make it as hygienic as possible going forward.

Face painters will be wearing a mask and/or face shield when working regardless of numbers.

Team will take a lateral flow 3 days before your booking and the day before as an extra precaution. This gives us time to cover your booking if needed with another team member.

What can you do to help?

What can I do to ensure a safe environment for all?

We kindly ask you to keep track of your guests and should any symptoms arise that are similar to those of COVID-19 suggest that your guest take a lateral flow test as soon as they can before the party. You can even help encourage guests to log in to the venue or have their NHS app active to ensure their presence is logged at the party.

Can I take the party outside?

Absolutely! We do however insist on cover for insurance purposes and for DJS safe access to power that won’t be a risk to guests.

What if I or my guests are affected by COVID-19 and I need to change the party? 

We will give you the option to rearrange the party at no extra cost. We’d obviously prefer you not to cancel given loss of income but we do understand in these times that this can be difficult and a full refund will be given.

The Booking Call

We take all bookings over the phone. This is to ensure that all your details correct and we have read through our terms and conditions of booking with you. Though we understand that booking online can sometimes seem easier, a call makes sure that we avoid any mistakes or oversights.

During your call, our admin team will go through your full quotation and thorough details for your party.


Payment is made over the phone via a secure merchant account. We take your card details via Worldpay and an authorisation code is given for every payment for your piece of mind.

Opting In

Within 24 hours of booking, we will send you a confirmation email as well as an opt-in email. The latter is to confirm that you are happy to receive future emails from us. With new GDPR guidelines in place, it is important for us to have your permission. It is also important for you to know how your data is being stored.

Booking Confirmation

Your booking confirmation email will have all the basic details of your booking included. It will also include links to the services you have ordered and payment confirmation and merchant provider authorisation code.

Your Courtesy Call

Around 7 days before your booking, our team will give you a call to run through the final details of your booking. This is also the point we will look to take your final payment. We do not take payment on the day of your party as there is always lots of other things to be focusing on and it avoids forgetting on the day!

On The Day

On the day of the booking you will receive a phone call as your character arrives at your chosen venue.

If you have booked a DJ or Face Painter, they will arrive before the party starts in order to set up and be ready to begin in time for your booking.

Should any of the team be running behind or delayed, they will call you to keep you updated.
